Using FootballOS

1. Agreeing to these terms

These terms apply when you create or use a FootballOS account. By accepting them, you agree to follow them whenever you use the service. If you use FootballOS for a club or another organisation, you must have authority to act in the role you select. These user terms operate alongside any applicable club subscription, data-processing or commercial agreement.

FootballOS accounts are intended for adults acting as coaches, club officials, volunteers, parents or guardians. Direct accounts for children are not currently offered. Do not create an account for a child or allow another person to use your account.

2. Your account and access

Provide accurate information, keep your sign-in details secure and tell FootballOS promptly if you believe your account has been compromised. Your account and permissions are personal to you. Club and team access may require approval and can be changed or removed when your role or membership ends.

Access to a feature may depend on your selected workspace, approved role, club membership, plan and enabled integrations. Premium access does not create club membership or grant permissions you do not otherwise hold.

3. Club information and data responsibilities

Your participating club normally decides why player, dependant, squad, team, training, fixture, result, finance and private club-community information is used. The club is normally the controller for that information and FootballOS processes it for the club. FootballOS is separately responsible as controller for platform accounts, authentication, service security, billing, support, optional marketing and privacy-minimised service administration.

Only enter, import, view, share or change personal information when you are authorised to do so. Keep it relevant and accurate, follow club policies and role permissions, and help the responsible controller deal with access, correction or deletion requests.

Test users must not enter real player or child information. Use invented names and synthetic data only while testing FootballOS.

4. Children and sensitive information

Children’s information requires particular care. Use the minimum information genuinely needed for the football purpose and keep it within the appropriate private workspace. Do not put safeguarding narratives, medical records, home addresses, DBS certificate content, offence information or other highly sensitive material into ordinary notes, plans, AI prompts or community posts. Use the club’s approved safeguarding and specialist systems instead.

Parents, guardians and authorised club users should read the privacy explanation for young people and explain FootballOS in an age-appropriate way.

5. Acceptable and community use

Do not misuse the service, evade permissions, access another organisation’s information, impersonate someone, scrape or probe the service, distribute malware, interfere with security, or use FootballOS for unlawful, fraudulent, abusive, discriminatory, threatening or harassing activity.

Community posts and messages must be relevant, respectful and suitable for their intended audience. Do not publish confidential club information, personal information without authority, safeguarding concerns, unlawful material or content that infringes another person’s rights. FootballOS and authorised moderators may restrict visibility or remove content where reasonably necessary to enforce these terms, protect users, comply with law or maintain the service.

6. Your content and sharing choices

You remain responsible for content you submit and confirm that you have the authority and rights needed to use it. You permit FootballOS to host, copy, secure, back up, display and otherwise process that content only as needed to provide and protect the service, follow documented controller instructions and meet legal obligations.

Content remains private unless you or an authorised user deliberately shares or publishes it. Material published to a County FA or Public community can be seen, discussed and linked to by that audience. Check the selected audience before publishing and do not assume that removing a post will remove copies already lawfully seen or retained by others.

7. AI-assisted features

AI features provide suggestions and drafts, not guaranteed facts or professional advice. Review every output before using, sharing or relying on it. You remain responsible for coaching, selection, welfare, safeguarding, medical, disciplinary and other decisions.

Do not use AI to make a decision with legal or similarly significant effects about a person. Do not enter unnecessary personal data or restricted information into an AI prompt. AI availability, output and response times may vary, and a feature may be unavailable if the required plan, permission or integration is not active.

8. Imports, links and third-party services

FootballOS can connect to or import information from services such as Full-Time, GotSport, Stripe and configured sign-in or AI providers. Those services have their own terms and availability. You must have authority to connect a source or import its information, and you should check imported records for accuracy. FootballOS is not responsible for a third-party service’s content, independent decisions or outages, but this does not affect any responsibility FootballOS cannot lawfully exclude.

9. Core FootballOS and Premium subscriptions

Core FootballOS includes the features described as available without a Premium plan. Coach Premium applies to the subscribing individual across workspaces they are authorised to use. Club Premium applies only to the selected subscribing club and its authorised users.

Before checkout, the billing page and payment provider will show the selected plan, billing interval, current price and any applicable tax. A monthly or annual subscription renews for the same interval until cancelled. You can manage or cancel a Stripe-managed subscription through Billing; cancellation normally takes effect at the end of the current paid period unless checkout information, law or a written agreement says otherwise.

If a payment fails or remains overdue, Premium access may be restricted after reasonable attempts to resolve it. Contact help@footballos.co.uk promptly about an incorrect charge, cancellation or refund. Nothing in these terms removes cancellation, refund, quality or other rights that apply under consumer law.

10. FootballOS intellectual property

FootballOS and its licensors retain rights in the service, software, interface, branding and materials supplied by FootballOS. Your right to use the service is limited, personal, non-exclusive, non-transferable and may be withdrawn when your account or applicable agreement ends. You may not copy, sell, sublicense, reverse engineer or commercially exploit the service except where law expressly permits it.

11. Service availability and changes

FootballOS may maintain, secure, improve or change the service and may temporarily interrupt access for maintenance, security or events outside reasonable control. We will use reasonable care and skill in providing the service. We do not promise that every feature will always be uninterrupted, error-free or suitable for every coaching or club purpose.

Material changes to these terms will be explained in clear language and brought to users’ attention before they take effect where reasonably possible. If renewed acceptance is required, access may be paused until you review the updated terms. Changes will not remove rights that have already arisen or override mandatory law.

12. Suspension and ending access

FootballOS or an authorised club administrator may restrict or end access when a role ends, security is at risk, these terms are materially breached, payment is overdue or continued use would be unlawful. Where appropriate, we will explain the reason and provide a reasonable opportunity to resolve the issue. Immediate action may be necessary to protect a person, data, the service or other users.

Club-controlled information remains subject to the club agreement, documented retention schedule and lawful return or deletion instructions. Sections intended to continue after access ends—including responsibility for content, intellectual property, payment obligations and applicable legal rights—continue to apply.

13. Responsibility and legal rights

You are responsible for decisions you make using FootballOS and for checking information and outputs before relying on them. FootballOS is not a substitute for qualified safeguarding, medical, legal, financial or other professional advice.

Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or your statutory consumer rights. Any additional liability arrangements for a participating organisation are set out in its signed agreement.

14. Privacy and communications

The FootballOS privacy notice explains how personal information is used and how to exercise privacy rights. Service emails needed to operate or secure your account are not marketing. Marketing emails are optional, require a separate choice and can be stopped using the unsubscribe route provided with them.

15. Contact, operator and governing agreement

Email help@footballos.co.uk with a question, complaint or request concerning these terms. The applicable subscription or club agreement identifies the FootballOS legal operator, its service address and the governing law. If a signed organisation agreement conflicts with these user terms, that signed agreement takes priority for that organisation to the extent of the conflict.
